Agent Seats (Adding & Setting Up)

So you need to add some team members? You can add as many Agent Seats as you need. Once a new Agent Seat is purchased or loaded into your account, the system generates a new unique login and sends the agent an email to log in to their new account.

Important: We cannot resend that initial welcome email, if the agent seat doesn't receive or accidentally deletes that email they will have to simply perform a password reset at the login screen.

 

Below is a breakdown of the different roles each person can play within an account.

Account Owner:

  • The Account Owner has full access to the account. They can see everything in regards to leads, funnels, and billing information. They are the only agents that have full access to any billing information, including the cards on file, statements/invoices, and adding/removing any add-ons.
  • The Account Owner can set and manage permissions as well as the Lead Assignment Rules for each Agent with the "Manage Your Team" and "Lead Assignment" settings pages.

Admin Agent Seat Features:

  • Each additional Admin Seat is $39/month unless other arrangements were made.
  • The Admin Agent Seat will be able to see all of the leads, reassign leads, and edit other agent seat permissions.
  • Admin Agent Seats will have full access to all account features except for billing and add-ons.
  • You can have multiple Admin Agent Seats if you'd like, there is no extra cost for them being an Admin.

Agent Seat Features:

  • Each additional Admin Seat is $39/month unless other arrangements were made.
  • The Agent Accounts will only see the leads assigned to them and do not have access to all of the features.
  • Agents do not have the ability to create new or edit existing Funnels.  

About Lead Distribution:

Leads are distributed using either round-robin or assignment rules. You can customize these rules according to:

  • Day of the week
  • Time the lead was captured
  • Source of the lead
  • Landing page the lead was captured from
  • Lead type (buyer/seller/re-fi/rental/purchase)

How to Setup a New Admin Agent Seat

STEP 1:  Hover over My Settings and click on Account Settings in the drop-down.

STEP 2:  On the left-hand side of the screen, locate and click on the tab labeled 'Manage Your Team'.

STEP 3:  Click on the orange button labeled '+Add an agent' located in the upper-right of the screen. If it is a free, pre-loaded agent seat then it will have you enter their information. If not, you will have to approve the billing.

STEP 4:  Once you enter the agent seat information, you can set the permissions to give the agent admin privileges.

Important: Be sure to hit "Save" after or the settings will not save!

 

How to Setup a Basic Agent Seat

STEP 1:  Repeat steps 1-3 above.

STEP 2:  Now you will want to look at the permissions that your agent has. Simply check or uncheck boxes to apply or remove permissions.

How to Automatically Assign Incoming Leads

**Remember, both the Account Owner and Admin Agent Seats will automatically have access to all of the leads, but that does not mean that the lead is assigned to the Owner or Admin, only that they can view them.**

Step 1:  Click Assignment Rules located on the left-hand side of the page, below the Manage your Team section.

Step 2:  Click the Manage button of the Agent who will be assigned Leads.

Step 3:  Optionally, you can set up specific rules based on the Day, Time, Source, Landing Page, or Lead Type.

Step 4:  Otherwise, select the Round Robin box to tell the system to alternate the distribution of leads between the seats.

You can also choose to enable round robin for partial leads and address captures.

How to Manually Assign Incoming Leads

Step 1:  Navigate to the full Leads view.

Step 2:  Find the column titled 'Assign To' and click the drop-down arrow to select an agent.
