Voice Broadcast

What is Voice Broadcast?

Voice Broadcast is an optional add-on feature available in the BoldLeads dashboard. You can record a reusable voicemail message and choose when and where it should send; via a funnel message and/or marketing blast.

 

How will this appear for the lead?

Leads will receive a notification that they have received a new voicemail message from your number. The lead’s phone will not ring, and if you leave a compelling message, the leads may give you a callback.

Pros

  • Send recorded voicemails to leads in the funnels and marketing tab.
  • ‘Voicemail Sent’ note will be noted in the lead’s profile history.
  • Leads may think they’ve missed a direct call from you and are likely to call back.
  • Any phone number can be used as the caller ID for the voicemail message.
  • This feature may be canceled at anytime; there is no monthly contract.

Cons

  • Voicemail message will only send if the lead’s phone service provider allows this type of messaging.
  • Unused voicemail recordings will not roll-over to the new, upcoming billing date.

Sign-up / Funnel set-up

(all leads assigned to funnel)

Subscription Plans:

  • Log into your dashboard and click on ‘My Settings > Account Settings’ in the top right-hand corner.
  • Click on the orange ‘Activate Voicemail Broadcasts’ button (at the top or bottom of the page) - This will take you to select a subscription plan option.
  • Select the planyou would like by clicking the grey Select button under the subscription plan.
  • The selected subscription plan will turn a deep purple.
  • Check the box to agree to the billing terms. 

Once this has been completed, a “Congrats!” popup will appear to confirm signup.  Click on the green button “Get Started” to set up your first voicemail.

A Voicemail can be recorded in 3 different places:

  1. Directly from the Voice Broadcast feature; click My Settings >My Account>Voice Broadcast >Record a New Voicemail
  2. Inside the funnel - Click the “New Voicemail” button at the upper right.
  3. One-time marketing blast - Click “Marketing” in navigation bar > Click the “New Voicemail” button at the upper right

Creating a Voicemail in a Funnel or Set-up from My Settings tab

There are two sets of configurations that need to be selected for a Funnel voicemail message. (Basic and Voicemail Settings)

Basic Settings:

  • Choose the Funnel field.  Click on Funnel and in the drop-down menu, select the Default Funnel that is assigned to the landing page/leads. (You can confirm the Default Funnel beforehand by: Clicking Funnels > View Funnels and locate the Default Funnel by the assigned landing page under ‘Landing Page’ column)
  • Choose Status field.  Confirm this is set to ‘Enabled’
  • Message title field.  Enter a title in the Title section.
  • When should this message be sent field. When should this message be sent? This step will tell the system how long it will wait before sending between Funnel emails. (Ranges from immediately up to two years)
  • Select the recipients. Click on the dropdown and select the segment that should receive the voice broadcast. We recommend selecting Send to All Segments.
  • Only Send During Business hours? Field. Default is Yes and we encourage this setting to avoid a message from being sent in the middle of the night.
  • Use your phone as the caller ID field.  Enter the phone number you’d like to use as the caller ID.

Voicemail Settings:

In this area there are 3 methods to include the voice message.

  • Record one directly from your device
    • Click the green record button to begin recording the message.
    • Once finished recording. Click on the stop & save button to stop the recording and save it for use.
  • Drag & drop and existing MP3
    • Open a file folder on your computer and find the MP3 file
    • Click the file and drag it to the drag & drop area for upload
  • Upload an MP3
    • Click on the grey button titled “Upload MP3”
    • Your default folder will appear. 
    • Find and click the file you would like to use.
    • Click “Upload” button on the folder 

*The Delete button will delete the current message and a new message can be recorded or uploaded.  (It’s like a reset button )

Once the a voice message has been added it’s important to

  • Select acknowledgment of the FTC Telemarketing Sales Rule
  • Finally, click Save this Message.

 

Marketing Blast Set-up

(one-time message)

There are two configurations of settings that need to be selected for a Funnel voicemail message. (Basic and Voicemail Settings)

  • Log into the dashboard and click on ‘Marketing’ in the top right-hand corner of the toolbar.
  • Click on the orange ‘New Voicemail’ button at the right-hand side of the page.

Basic Settings:

  • Message title. Enter a title in the Title section.
  • Select the recipients. Click on the dropdown and select the segment that should receive the voice broadcast. We recommend selecting Send to All Segments.
  • Include partial leads? We recommend No
  • Schedule your voicemail blast. Select a date and time from the respective dropdown.
  • Use your phone as the caller ID. Enter the phone number you’d like to use as the Caller ID.

FAQS

Q: Is this a monthly cost?

Yes, the voicemail broadcasts feature will draft on the same day as your current billing.

Q: Will the unused voicemails roll over to the next billing cycle?

No, any unused voicemail messages will not be rolled over to the next billing cycle.

Q: How will I know if the voicemail has been sent to a lead?

We will document in each lead’s profile if the voicemail message has been delivered to that lead. Simply do the following:

  1. Navigate to the Leads View.
  2. Click on the lead's name.
  3. A new screen will appear, displaying the Profile View.
  4. The Profile Timeline is located in the right-hand column.

If the automated voicemail is sent out and does not successfully reach the prospect's voicemail, this is typically due to carrier issues, roaming, carrier phone plan does not support the feature, etc.
